Role Summary
The Materials Coordinator is responsible for maintaining inventory accuracy and coordinating the efficient flow of materials through the facility. This role serves as a key liaison between production, purchasing, sales, and external logistics partners to ensure parts are processed, packaged, and shipped according to production schedules and service requirements. The Coordinator manages system transactions, reconciles physical counts with SAP data, and facilitates critical logistics shipments, including after-hours and expedited service parts.
 
Key Responsibilities:
 
Inventory Management & Reconciliation
  • Conduct physical cycle counts to verify on-hand inventory accuracy; identify and resolve discrepancies between physical stock and system records.
  • Perform system transactions (e.g., VL moves, material document processing) in SAP to ensure accurate inventory tracking.
  • Proactively monitor stock levels, identifying potential shortages ("uh-oh" parts) and coordinating with planners and supervisors to mitigate supply risks.
Logistics & Shipping Operations
  • Coordinate outgoing shipments via multiple carriers, including managing LTL and full truckload shipments to distribution centers and service locations.
  • Prepare and process shipping documentation, including Bills of Lading (BOLs), ensuring all information is accurate for delivery, rating, and invoicing.
  • Manage "out-of-system" shipping requests, including Free of Charge (FOC) orders, ensuring accurate labeling and tracking for service/customer parts.
  • Track and communicate shipment status to stakeholders, ensuring timely delivery for expedited programs, such as the 24-hour parts program.
Cross-Functional Coordination & Communication
  • Collaborate with Production Supervisors to ensure service parts are packaged and staged to meet strict deadlines.
  • Work closely with the Purchasing and Sales departments to execute export requests (e.g., international parts shipments) and resolve documentation or processing errors.
  • Serve as the primary point of contact for logistics providers (e.g., C.H. Robinson) regarding pickup scheduling and logistics troubleshooting.
  • Provide regular updates to management regarding shipment progress, parts availability, and inventory status.
Qualifications & Skills
  • Systems Proficiency: Demonstrated ability to manage inventory and logistics data in SAP (or similar ERP systems).
  • Logistics Knowledge: Understanding of shipping documentation (BOLs), carrier communication, and coordination of LTL/truckload shipments.
  • Attention to Detail: High accuracy in inventory counting and verifying parts documentation.
  • Communication: Ability to communicate clearly across all shifts and departments to facilitate urgent requests and resolve logistical hurdles.
  • Problem-Solving: Proactive approach to identifying stock issues and facilitating alternative shipping solutions when standard processes are not applicable.


Position Description

Oversees the organization of products using inventory control software. Schedules order pick ups and delivery.

Job Responsibilities

  1. Organizes and develops systematic plans for loading and unloading of trucks
  2. Ensures the proper labeling, tagging, packaging and receipts of products and materials by using inventory control software to record transactions
  3. Processes customer returns and works with other departments to resolve outstanding issues
  4. Schedules inbound pickups for common carriers/company trucks and directs to proper destination for delivery; Interacts with internal and external customers to expedite and follow up on orders
  5. Leads and coordinates cycle counting duties to investigate and resolve issues
  6. Performs other duties as assigned

Job Skills Requirements

  • Interpersonal and written communication skills
  • Proficient computer skills and familiarity inventory control software as it relates to processing, raw materials and shipment of product
  • Ability to work in a fast-paced manufacturing environment
  • Fluent in English and primary language used in area of responsibility and/or location

May be required to lift or carry engines, parts, and/or other materials of various sizes and weights. The supervisor will provide the essential physical requirements of each individual job.

Ability to stand and/or walk constantly over a full work shift (8-12 hours)
Ability to perform occasional to frequent pushing, pulling, bending, kneeling, twisting, crawling and/or reaching over a full work shift (8-12 hours)
